A shared tax folder for the household

Family tax preparation starts with a clear place for documents and unanswered questions.

Start with your situation

Choose a household organizer and label documents by person and year. A shared index can prevent duplicate requests without giving every family member unrestricted access to sensitive records.

Evidence should explain the transaction

Useful records connect an amount to its source, date, purpose, and supporting document. A bank entry shows movement of money but may not explain whether it was income, a transfer, or a business expense. IRS recordkeeping guidance emphasizes a system that clearly shows income and expenses and supports items reported on returns.

Build a searchable evidence trail

Use a consistent filename containing the year, date, vendor or payer, and category. Keep original statements and receipts, plus a short note when the business purpose is not obvious. Reconcile totals to the books and retain a list of missing items. Reconstructed information should be identified honestly; do not invent receipts or turn uncertain estimates into documented facts.

  • Separate years and accounts
  • Connect entries to supporting documents
  • Mark incomplete evidence clearly

Questions to consider

Is a spreadsheet enough by itself?

A spreadsheet is an organizing tool. Supporting evidence may still be needed to establish the nature and accuracy of entries.
